18. Media Library

What This Feature Does #

The Media Library is a shared file repository for your organization. It stores images, videos, documents, and other files that you can reuse across email templates, WhatsApp templates, and other modules.

When to Use #

  • Use when creating email templates that need images.
  • Use when creating WhatsApp templates with media headers.
  • Use when composing direct emails with attachments.
  • Do not save sensitive personal documents in the media library — it is a shared asset library.

Prerequisites #

  • CompanyAdmin or TenantUser role.
  • Pro plan.
  • Storage quota available (your plan’s media storage limit).

How to Open the Media Library #

The Media Library opens as a modal popup from within other features (email editor, WhatsApp template builder). There is no standalone media page by default — you access it from the context where you need to pick a file.

Browsing Existing Files #

  1. When prompted to select a file (e.g., in the email editor), the Media Library popup opens.
  2. Click the Browse Existing Files tab.
  3. Use the Search Files box to find by file name.
  4. Use the File Type Filter dropdown to narrow to Images, Videos, Documents, or All.
  5. Scroll down to load more files (infinite scroll).
  6. Click a file card to select it. A checkbox overlay appears.
  7. Click Confirm Selection (blue button).

Uploading New Files #

  1. In the Media Library popup, click the Upload New Files tab.
  2. Drag and drop files or click to select.
  3. The file is uploaded and appears in the library.
  4. Select it and click Confirm Selection.

File Thumbnails #

  • Images: Preview shown directly on the card.
  • Videos: Video thumbnail or file-type icon.
  • Documents (PDF, DOCX, etc.): File-type icon with file name, size, and upload date.
