Needs a contact with an email address.
Message type:
- Template: pick an Email template (10.4). Its placeholders are filled from the contact.
- Custom message: write a Subject and Body in the editor, without a saved template. Insert placeholder adds contact or system data such as
{{ContactFullName}}, or trigger data such as{{Trigger.…}}on message and store triggers. The available placeholders are listed in 10.4.
Channel (which mailbox sends it):
- Auto: the mailbox the inbound email arrived on (for Message Received via Email), or the email campaign’s Reply-To mailbox (for Triggered from Broadcast), otherwise the mailbox assigned to the contact’s owner.
- Specific mailbox: always send from the Reply-to mailbox you choose. Use this for every trigger other than Message Received via Email, so the step never depends on the contact having an owner.
Pitfalls:
- Workflow emails go out through a Reply-To Mailbox’s SMTP settings, not through an Outbound Mail Server. The mailbox needs outgoing settings (10.2).
- Fails with "Contact does not have an email address", "No active email mailbox is available…" (Auto found no mailbox), or "Selected mailbox has incomplete SMTP settings".
