# 12.7 Reviewing Posts Before They Go Live

## What This Feature Does

Social posts can be checked by a person you trust before they reach your public pages. A teammate writes the post in the **Publishing Wizard** and sends it for review. A reviewer reads it, comments, fixes it or returns it, and only when they approve does it publish or schedule. This works the same for Instagram, Facebook, Pinterest and LinkedIn, and one post can go to several of them at once.

## Who Does What

Three levels of trust, set per person under **User Management → Data Access → Social media** (see [6.8](/docs/social-media-rights-editor-publisher-reviewer/)):

- **Editor** writes posts and sends them for review. Nothing an editor writes goes live until a reviewer approves it.
- **Publisher** writes posts and publishes them directly, without review.
- **Reviewer** is a Publisher who is also allowed to approve or return other people's posts. To approve a post, a reviewer needs publishing rights on every platform in that post.

The company owner and every CompanyAdmin can review. Under **User Management → Review before publishing**, the owner or an administrator chooses whether **only people without publishing rights** send posts for review (the default), or **every post** does (except the owner's and reviewers').

## Send a Post for Review (Editor)

1. Build the post in the **Publishing Wizard** as usual.
2. In step 5, the **Publish** button is replaced by **Submit for review**. A line under it says who will review it ("Your posts are reviewed by Sara before publishing").
3. Optionally add a note to the reviewer, or ask one particular reviewer.
4. Click **Submit for review**. The post is now read-only. You can take it back at any time with **Withdraw to edit**.

If nobody in your company can approve a post for those platforms, the button stays off and the message names what is missing. Ask the owner to give someone the review right and the matching publishing rights.

## Review a Post (Reviewer)

A reviewer sees a red number next to **Publishing Wizard** in the sidebar when posts are waiting. Open the wizard: **step 1** has a **Review** section with the tabs **Waiting for me**, **All waiting**, **Returned** and **Recently decided**. Click a post to open it in the wizard itself, where each step shows the post as it will look on every platform.

At the top, the review panel lets you:

- **Comment**, on the whole post or on one thing: a platform's caption or hashtags, one picture, or the schedule. The author sees the comment next to that exact field.
- **Compare** with an earlier round to see what the author changed in the captions and hashtags.
- **Approve.** Choose to publish at the time the author picked, publish now, or pick a new time. If the author's time has already passed, only the last two are offered.
- **Return to editor**, with at least one comment saying what to change.
- **Save my edits**, to fix a typo yourself instead of sending it back. It is saved as a new round that the author can read.
- **Assign to** another reviewer.

Approving a post publishes it as if the author had done it: the author stays the creator of the post, and the **Posts** page shows **Approved by** your name on it.

## When a Post Comes Back (Editor)

A yellow number next to **Publishing Wizard** means a post was returned. Open it from the **Saved drafts** list in step 1 (marked **Changes requested**). The wizard opens as usual with a banner at the top, and each reviewer comment sits next to the field it is about. Tick a comment when you have dealt with it, fix the post, then click **Resubmit for review** in step 5. Every round is kept, so the reviewer can see exactly what changed.

## Change a Post That Is Already Scheduled

An editor cannot change a scheduled post directly. On the post's card in **Posts**, click **Propose changes**. The wizard opens with the post, and in step 5 you click **Propose changes**. The scheduled post stays exactly as it is until a reviewer approves your proposal, and then the changes are applied to it. Only one proposal can be open for a post at a time. A post that is already published cannot be changed this way.

## Status Chips in Saved Drafts

Saved drafts in step 1 show **In review**, **Changes requested**, **Approved**, **Published**, **Partly published** or **Failed**, and can be filtered by status.

## Notifications and Reminders

- Reviewers are notified when a post is submitted or resubmitted (only the assigned reviewer when one was chosen).
- The author is notified when the post is returned, or approved.
- If an approved post fails to publish on some or all platforms, both the author and the approver are notified.
- A post that has waited more than 24 hours for review triggers a reminder to the reviewers, at most once a day.
- Notifications appear in the app and are emailed unless the person turned notifications off in their profile.

## Calendar

In the [Scheduler](/docs/scheduler/), a post waiting for review appears as a **dashed** entry on the date its author chose, marked **Awaiting review** (or **Returned**). Only its author and reviewers see it. Click it to open the post in the wizard. It becomes a normal scheduled post once approved.

## What Happens If This Fails?

- **Approval fails on a platform.** The post is marked **Partly published** or **Failed**. Retry the failed platforms from **Posts**, as for any failed post.
- **Two reviewers approve at the same moment.** Only the first approval counts; the second sees that someone else already decided.
- **The author's time has passed when you approve.** You are asked to publish now or pick a new time. Nothing is published silently at a time nobody chose.
- **Review is unavailable.** If the review service is temporarily unavailable, editors cannot submit and are told so. Owners and publishers can still publish directly.
